Terms of Use

1. Who we are

The service is provided by WMA Associates ("WMA", "we"), based in Cyprus. Contact: wmaassociates9@gmail.com or the support chat inside the dashboard.

2. The service

The WMA Dashboard (wmasuite.tech) is software as a service (SaaS) for businesses: bookings and appointments, customers, a till (POS), memberships, staff, shifts, payroll, reports and related features, plus a mobile app.

The service is intended for businesses and professionals, not for consumers' personal use. Whoever creates an account confirms they have the authority to bind the business they create it for.

3. Account and security

• The account owner is responsible for the details they provide, for the users (staff, reception) they give access to, and for everything done through their account.
• Keep your passwords safe and tell us immediately if you suspect unauthorised access. We recommend turning on two-step verification.
• We may suspend access to protect the security of the service or of other users, informing you where possible.

4. Free trial

Every new business gets a 14-day free trial with all features, and no card is required. If no payment method is added after the trial, section 7 applies.

5. Prices and payment

• The subscription is monthly, by package: Starter €35.69, Growth €59.49, Professional €95.19, Enterprise €154.69 per month, or the price agreed in writing for a Custom package. Prices are final: no VAT is added.
• Payment is by card, charged automatically on the same day each month, through the payment provider Stripe. We do not see or store your card details. The receipt is emailed to you.
• If a card is added during the free trial, the first charge happens when the trial ends.
• A package change applies from the next monthly charge, without prorated charges or credits.
• We may change prices with at least 30 days' notice by email. The new price applies from the first charge after the notice period; if you do not agree, you can cancel before then.

6. Cancellation

You can cancel the subscription at any time under "Card & invoices" in the dashboard. Cancellation takes effect at the end of the month you have already paid for: until then you keep full access and no new charge is made. No refunds are given for a month that has already been charged, in part or in full.

7. Late or failed payment

If a charge fails, or the trial ends without payment, you have 5 days' grace. After that the account becomes view-only: you see all your data but cannot make changes until payment is completed. Your data is not deleted because of a late payment.

8. Your data

• The data you enter (customers, bookings, sales, staff, etc.) belongs to your business. For the personal data of your customers and staff, your business is the controller and WMA acts as processor, under the GDPR and our Privacy Policy.
• We process the data only to provide and support the service, as described in the Privacy Policy. We do not sell it.
• We keep encrypted backups with a storage provider inside the European Union.
• You can ask for a copy or the deletion of your business's data by writing to us. After final deletion, the data is also removed from backups within 60 days at the latest.
• You are responsible for having a lawful basis for the data you enter and for informing your customers and staff as the law requires.

9. Acceptable use

You may not use the service for unlawful purposes, to send unsolicited messages, to infringe the rights of others, to access other businesses' data, or to disrupt or overload it. For a serious breach we may suspend or terminate the account.

10. Important limits of features

• The till (POS) records your sales; it is not a fiscal cash register and its receipts are not tax receipts. The business keeps its own fiscal cash register.
• Payroll and payslips are a calculation aid. Amounts, taxes and contributions must be checked by your accountant before any use or sending.
• Reports and statistics are based on the data you enter and are not accounting, tax or legal advice.

11. Availability and changes to the service

We make every reasonable effort to keep the service available and secure, but we do not guarantee uninterrupted or error-free operation. There may be short interruptions for maintenance or upgrades. We improve the service continuously; if we remove an essential feature you use, we will tell you in advance.

12. Limitation of liability

To the extent the law allows, WMA is not liable for indirect or consequential losses, such as lost profits, lost customers or business interruption. WMA's total liability for any claim related to the service is limited to the amount you paid for the service in the 3 months before the event giving rise to it. This limit does not apply to losses caused by fraud or gross negligence, or where the law does not allow it.

13. Termination

You can stop using the service at any time by cancelling the subscription. We may end the agreement with 30 days' notice, or immediately for a serious breach of these Terms. In every case you can ask for a copy of your data before it is deleted.

14. Changes to these Terms

We may update these Terms. For material changes we will notify you by email at least 30 days before they take effect. Continuing to use the service after that date means you accept the new Terms.

15. Governing law

These Terms are governed by the law of the Republic of Cyprus, and the courts of Cyprus have jurisdiction over any dispute. Before any legal step, we try to resolve the matter with you first: write to us and we will reply promptly.
